Main responsibilities職責描述:
Administration Support
?Provide daily secretarial and administrative support to BU Head, arranges appointments, travel arrangement.
?Managing complex calendars and resolving scheduling conflicts
?Dealing with expense reimbursement, e-expense approval, to ensure all applications guided in finance/ compliance/SOP
?In charge of BU head’s daily admin matter, including monthly BU Head’s Itineraries, Air-ticket, hotel booking, budget application & reimbursement, etc.
?Understand finance/compliance /SOP and share to team, Follow up on budget accruals and reimbursement overdue tracking as needed
?Site Chop, Site certificate and license, Site key and Site car management
?Site public rent house and dormitory management
?Support on site big events
Assist with Site Level Events and operations
?Coordinate business events planning, in particular management meetings, annual kick-off, etc.
?Ensure all meetings have proper minute documentation with actions, deadlines and responsible persons
?Follow up on meeting actions to ensure they are completed on time
?Organize the leadership group teambuilding activities
?Support BU head’s special project, and keep closely contact with BU head’s sub team
?Researching and compiling information for executive decision-making
?Preparing briefing materials for meetings and presentations
?Key visitors receiving, such as agenda arrangement, hotel, dinner, transportation, invitation letter etc
Cross function communication
?Serve as BU focal contact point to ensure the communication and cascading of cross functional initiatives
?Maintain and direct the key BU internal communication platforms
?High level of confidentiality and professionalism due to the nature of work relating to potential future initiatives/projects with significant impacts on Sanofi globally and locally.
?Other tasks/responsibilities assigned by BU head
People &Culture
?Employee Life Cycle management, includes coordinate new joiner orientation training, site attendance coordination and OT management, People Announcement Management as well as JD Management etc.
?Outsource employee management, includes temp development, promotion, job change, retaining, termination, retire, resignation, PIP, ER cases management etc.
?Bravo recognition management. Quarterly and annual Bravo organization (from kick off to finalize the award list), Bravo Certification & Townhall slides preparation
?Annual Health Check management
?Comprehensive working hour management and application
?Support specific P&C related activities and workshop (DEI activities, engagement/culture wksp etc.)
?PtW & DEI Culture promotion, also support Annual Your Voice Survey and follow up actions
?SOP Owner for P&C policy to meet site GMP requirements, and support people related data/document/information during site GMP/HSE etc. audits as well as daily operations
?Pay daily attention to the latest policy information issued by local government departments, attend government related meeting and host government visitors.
?Local vender contract renewal management
?Other work assigned by Site Head, P&C

?At least 3-5 years relevant work experiences in large multinational companies in administrative or secretarial roles
通用技能:
?Good communication: able to clearly communicate objectives, get alignment and actively follow up
?Strong initiative, tact and diplomacy, and interpersonal skills a must
?Ability to prioritize effectively and collaborate with cross-functional team members and other administrative staff
